DrillMetrix ("we", "our", or "us") is committed to protecting your privacy and safeguarding the information entrusted to us. This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights when using the DrillMetrix website, mobile applications, and related services (collectively, the "Service").

By accessing or using our Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our practices, please do not use the Service.

1Information We Collect

We collect the following categories of information when you use DrillMetrix:

Account Information: Name, email address, company name, and password when you create or manage an account.

•

Operational Data: Drill reports, footage drilled, holes, fuel usage, drill time, tram time, delay categories, equipment numbers, engine hours, and any other production or performance data you enter into the platform.

•

Payment Information: Billing details are processed securely by Stripe. DrillMetrix does not store credit card numbers or sensitive payment data on our servers.

•

Device Information: Device type, operating system, browser type, IP address, and unique device identifiers when you access the platform.

•

Usage Analytics: Pages viewed, features used, session duration, and interaction patterns to help us improve the service.

•

Support Communications: Messages, emails, or chat records when you contact our support team.

•

Mobile Device Permissions: The DrillMetrix mobile app does not access device location, Bluetooth, contacts, microphone, speech recognition, native calendar data, local-network devices, or casting functionality. The only file or image functionality is an optional company-logo upload performed by an authorized administrator through the standard device file picker. Depending on the device, the administrator may be offered the choice to take a new photo or select an existing image solely for the company logo.

2How We Use Information

We use the information we collect to:

Provide, operate, and maintain the DrillMetrix platform and mobile applications.

Authenticate users and manage account access securely.

Process subscription payments and manage billing through Stripe.

•

Generate drill reports, productivity dashboards, KPI summaries, and performance analytics.

Improve the platform through performance monitoring and product development.

•

Provide customer support and respond to inquiries.

Monitor platform security and prevent unauthorized access or fraud.

•

Send service-related notifications, including maintenance alerts and account communications.

Comply with applicable laws and legal obligations.

3Data Ownership

Operational data entered into DrillMetrix — including drill reports, production metrics, equipment records, and personnel data — remains the property of the company account that created it.

DrillMetrix does not sell, license, or share your operational data with third parties for their commercial benefit. We act as a data processor on behalf of our customers, who are the data controllers of their own operational records.

Upon request, companies may export or request deletion of their data in accordance with our data retention policies and applicable law.

4Data Sharing and Disclosure

We do not sell your personal data. We may share information in the following limited circumstances:

Service Providers: We work with trusted third-party vendors (including Stripe for payments, cloud hosting providers, and email delivery services) who process data on our behalf under strict confidentiality agreements.

Legal Requirements: We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of DrillMetrix, our users, or the public.

Business Transfers: In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of the transaction. We will notify affected users before any such transfer takes place.

With Your Consent: We may share information in other circumstances with your explicit consent.

5Data Security

We take the security of your data seriously and implement industry-standard safeguards, including:

Encrypted data transmission using HTTPS/TLS across all platform connections.

Secure cloud infrastructure with access controls and monitoring.

Password hashing and secure authentication practices.

Regular security reviews and updates.

While we take reasonable precautions, no method of electronic transmission or storage is 100% secure. We encourage users to use strong, unique passwords and to report any suspected security issues to support@drillmetrix.com immediately.

6Data Retention

We retain your data for as long as your account is active or as needed to provide our services. Specifically:

Account and operational data is retained for the duration of your active subscription.

•

A user may initiate account deletion at any time from Account Settings within the DrillMetrix app. Initiating deletion permanently removes the user's authentication account and prevents future sign-in.

•

When a user account is deleted, personal identifiers associated with that user — such as name and email address — are replaced with a neutral pseudonymized identifier (for example, "Deleted User" and a system-generated value) on all associated records. The original name and email are no longer recoverable. Records previously associated with the deleted user remain linkable to each other through this pseudonymized identifier, preserving the company's ability to reference historical records without retaining the user's personal identity.

•

Company-owned operational records — including drill reports, time card entries, drill logs, consumable measurements, equipment data, and site records — are retained in pseudonymized form to preserve the company's historical production, payroll, safety, reporting, and legal records. These retained records are no longer linked to the deleted user's personal identity but remain linkable to each other through the pseudonymized identifier.

•

An immutable internal platform field (created_by_id) remains on records created by the deleted user. This field contains a user ID that can no longer be resolved to an individual after the account is deleted, as the underlying User record no longer exists. This field is not exposed in the user interface but may be present in underlying database records.

•

Payment and billing records processed through our payment provider (Stripe) are retained for financial, tax, and legal compliance. When a user deletes their account, the Stripe customer record's email address and associated metadata are updated to remove the user's personal email. The Stripe customer ID, subscription ID, payment history, invoices, and charge records are retained as required by financial regulations and are not linked to the deleted user's personal identity.

•

If the last remaining company administrator deletes their account, the company's active Stripe subscription is automatically canceled at the end of the current billing period to prevent charges for a company with no authorized administrator.

•

Certain records may be retained longer where required by law or legitimate business purposes (e.g., financial records for tax compliance).

•

On native iOS, DrillMetrix does not provide account registration, trial sign-up, or in-app purchasing. iOS users access existing accounts only.

7Your Rights and Choices

Depending on your jurisdiction, you may have the following rights regarding your personal data:

Access: Request a copy of the personal data we hold about you.

•

Correction: Request correction of inaccurate or incomplete data.

•

Deletion: Request deletion of your personal data (subject to legal retention obligations).

•

Portability: Request your data in a portable, machine-readable format.

•

Objection: Object to certain processing activities, including direct marketing.

•

Withdrawal of Consent: Where processing is based on consent, you may withdraw consent at any time.

8Mobile Application Permissions

The DrillMetrix mobile application's device access is intentionally minimal:

Company Logo Upload: An authorized company administrator may optionally select and upload an image from their device to use as the company logo. This uses the standard device file picker and is the only image or file functionality in the app.

DrillMetrix does not currently collect precise device location, and does not access Bluetooth, contacts, microphone, speech recognition, native calendar data, local-network devices, or casting functionality. DrillMetrix does not capture or attach photos to reports, and does not save or retrieve report attachments.

9Cookies and Tracking

DrillMetrix uses cookies and similar tracking technologies to:

Maintain your login session and authentication state.

Remember your preferences and settings.

•

Collect anonymous usage analytics to improve the platform.

You may disable cookies through your browser settings; however, doing so may affect the functionality of certain platform features. We do not use cookies to serve third-party advertising.

10Children's Privacy

DrillMetrix is designed for professional use by adults in the drilling and mining industries. We do not knowingly collect personal data from individuals under the age of 16. If we become aware that we have inadvertently collected data from a minor, we will take steps to delete it promptly. If you believe a minor has provided us with personal information, please contact us at support@drillmetrix.com.

11International Data Transfers

DrillMetrix is operated from Canada and the United States. If you access the platform from outside these countries, your data may be transferred to and processed in jurisdictions with different data protection laws. By using DrillMetrix, you consent to such transfers. We take reasonable steps to ensure that transferred data is protected in accordance with this Privacy Policy.

12Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will:

Notify active account holders by email where the changes are significant.
